Applying the ISO 9001:2015 standard, we strictly adhere to rigorous procedures regarding both the management of the material to be digitized (receipt, storage, delivery, etc.) and the digitization method (wiring, quality control, etc.). These procedures ensure that every task conducted is documented, from the receipt of the material to the delivery of the digitized file to the customer.
During the receipt of the material, a form is completed with the customer’s notes and the project specifications (file types, archiving, storage medium, etc.), setting, at the same time, a specific delivery date. All photographic material containers (folders, magazines, carousels, or boxes) received are numbered with a unique identifier, along with the customer’s surname or business name, before being placed in the digitization area. In this way, nothing gets lost or mixed up with another customer’s material. Additionally, the aforementioned numbering serves as a crucial mechanism when it comes to quality control, as it identifies which pose needs to be checked and, subsequently, re-digitized if necessary.

At Office Support, we follow specific procedures to achieve the optimal result. Indicatively, but not exhaustively, we implement the following:

  • Our playback devices undergo regular maintenance and their heads are checked and cleaned after playing the required number of tapes (adjusting this number based on the condition of the source material).
  • Each tape is initially played on different devices to select the one that provides the best results (tracking, colour rendering), and is subsequently rewound twice, both forward and backward in order to wind it with the tension of the motor of the device that will play it. In this way, the playback of the tape is smoother and the detection of any problems is easier (e.g., wrinkled or cut tape, broken tape protection mechanism, etc.).
  • Every digital file is checked every 5-10 minutes to identify any issues (jitter, colours, etc.). If a problem is detected, the tape is played on a different device and if the result is found to be superior, it is then re-digitized using the new device. In any case, a detailed log is kept, with information about the device used for digitization but also about the computer that was utilized. Additionally, it’s worth mentioning that some tapes perform better during the second or third playback. This is quite common and we always take it into account.
  • We examine the entirety of each tape, regardless of whether there is an image. Every returned tape is fully rewound at the beginning or fast forwarded to the end, thus certifying that it has been thoroughly checked.
